Caide-Managed Mailboxes

Caide Managed Mailboxes are the answer for anyone who wants to avoid the technical rabbit hole of email setup. In other words, they're perfect for people who would rather spend time closing deals than reading DNS documentation for fun.

With a Caide Managed Mailbox, the system handles the messy bits for you. That means domain setup, DNS records, tracking domains, warming the mailbox, forwarding URLs, and other things you probably hoped never to think about. If you’re wondering what’s under the hood, what you get with a CMM, and why your emails are landing in inboxes (not spam), this guide has you covered.

What’s included?

With a Caide Managed Mailbox, you get everything you need to start sending cold emails without worrying about breaking something technical. Here’s what’s bundled in:

- Custom domain registration
- Mailbox setup
- DNS configuration
- Tracking domain and URL forwarding
- Automated warmup, indefinitely
- Inbox monitoring and deliverability maintenance

In short, all the complicated stuff that can quietly sabotage your outreach if set up wrong.

Why this matters?

Getting a fresh domain off the ground isn’t just a checkbox. It takes time, precision, and the kind of patience usually reserved for assembling flat-pack furniture.

You should never send cold emails from your primary business domain. Even if you’re doing everything right, deliverability issues happen. Caide staggers sends to keep things safe, but as the saying goes, “you don’t want to poison the well you’re drinking from.”

On top of that, setting up DNS records correctly is trickier than it sounds. One wrong character in your DKIM or DMARC setup and you could bounce every email you send. Caide’s managed approach means you don’t have to play email sysadmin just to start a campaign.

How do I set one up?

It’s dead simple. First, purchase a lookalike domain (Caide will suggest some that look professional and on-brand). Then choose your sender name. That’s it.

Caide will handle everything else: registering the domain, setting up DNS records, configuring mailboxes, warming them up, and making sure they’re ready to go. The whole thing takes a couple of minutes. You’ll get an email confirmation when setup is complete.

You’ll spend less time setting this up than you would making coffee. And unlike coffee, this actually scales.

The warmup process

Once your domain and mailboxes are configured, we place them in a 14-day quarantine period. No, they don’t have a virus, they’re just not ready to charge into inboxes yet.

Email service providers like Google, Outlook, and Yahoo are quick to flag brand-new mailboxes that suddenly start sending cold emails. Do that without warming up and... straight to spam jail. Do not pass go. Do not collect conversions.

Over two weeks, Caide gradually ramps up your sending by interacting with a large pool of other warmup mailboxes. These accounts send, receive, reply, and even whitelist each other’s emails. That activity builds trust with ESPs and earns your mailbox a solid reputation.

After the warmup is complete, your mailbox is cleared for sending real outreach. But here’s the kicker: Caide keeps the warmup running indefinitely. For every cold email you send, a warmup message is sent behind the scenes to maintain reputation. Unlike other systems that stop warming after a while (leading to a slow decline in deliverability), we keep your domain in fighting shape for the long haul.

You get consistent inbox placement without having to replace your domain every few months. Nobody wants to be on that hamster wheel.

Note:

While your Caide Managed Mailbox is warming up, we recommend temporarily connecting another external email (ideally not your main business address) so you can start sending right away.

FAQ

Who owns the domain?

Technically, Caide does. Setting up individual WHOIS profiles for every customer would be a nightmare both operationally and security-wise. That said, you paid for it, so you have full influence over it. Want to renew it yourself? Delete it? Transfer it elsewhere? Just let us know; we’re happy to help. If you accidentally register a domain you later want to repurpose, we can sort that out too. Just drop us a message.

Can I use my own domain instead of buying a new one?

Not with Caide Managed Mailboxes, unfortunately! CMMs are designed as a complete flow; if you plug in your own domain, we can’t set up DNS records, connect it to our warmup pool, or work our deliverability magic.

That said, if you do want to use your own domain, you can. We support Google and Outlook inboxes, and SMTP/IMAP support is coming soon (if you’re into that kind of thing).

Can I have multiple mailboxes under the same domain?

Yeppers. We allow up to 5 mailboxes per domain to keep deliverability tight and tidy. Each additional mailbox costs $9 per month, with one free mailbox included for Pro users.

Can I change the sender name or email alias?

Eeek—nope. Not right now. If that’s something you really want, let us know and we’ll consider it. We get the need for a new persona now and then. You can always add a new mailbox with a fresh name and retire the old one.

How long does warmup take?

Two weeks for the initial warmup period. After that, you’re good to go, but the warmup process keeps running in the background indefinitely to protect your sender reputation over time. Set it, forget it, stay out of spam.
